Meetings in NGOs optimised
Who hasn't experienced these recurring meetings that follow the same procedure every time: send out the meeting, collect agenda items, prepare presentation material, write the minutes and then send them out. To make matters worse, the content of the presentations can no longer be retrieved. A lot of time is spent on each of these tasks that could be used for more creative work. This is also the case at St Anne's Children's Cancer Research Institute (CCRI).
Efficiency instead of extra work
As part of the practical project, a process with a high level of automation and a simple tool were therefore developed that simplifies meeting organisation and documentation, reduces the effort involved to a minimum, enables easy retrieval of content and is also very inexpensive to implement using Office 365. The need was definitely there at St. Anna Children's Cancer Research. This is because weekly lab meetings are held at the NGO to allow scientists to exchange ideas in the course of their current research work.
Simple planning and documentation
This is where the developed tool comes in: Specifically, with the help of a canvas app, automated flows, SharePoint lists and OneNote, it enables efficient planning and, above all, documentation of the content created in the LabMeetings. The newly created product guarantees ease of use for users thanks to a simple user interface. In addition, detailed technical documentation and training videos were created for the users. If the tool is accepted, it could also be used in other St. Anna Children's Cancer Research groups.
